Piney Hill Policies

RESERVATIONS

To make a reservation, please book online. All reservations are processed in real-time, meaning once you select your cottage, it is immediately blocked out, and a confirmation will be sent to you. For your protection, we cannot store your credit card information due to current PSI regulations.

MINIMUM STAY REQUIREMENT

  • A 2-night minimum stay is required year-round unless otherwise specified.
  • A 3-night minimum stay on October weekends that include a Friday or Saturday, Thanksgiving & Christmas.
  • The following Federal Holidays require a 3-night minimum stay:
    • Memorial Day Weekend
    • Labor Day Weekend
    • Columbus Day Weekend
  • 1-night stay exception: We only take a 1-night stay if a cottage is available 24 hours prior.  Please note, a $100 surcharge is automatically added to the nightly rate during the online reservation process for this option.
  • Cottages are open 7 days per week.

DEPOSIT

$250 deposit is required to secure your reservation.  The deposit will be charged to your credit card when you make your reservation and applied toward your final balance due on arrival.

CANCELLATION POLICY

Because your accommodations are reserved exclusively for you from the time of booking, we kindly ask you to review our cancellation guidelines below: 

  • Cancellations made more than 10 days before arrival will incur an $85 service fee per cottage.
  • Cancellations made 10 days or less of arrival will be charged the full reservation amount, unless we are able to rebook the cottage.
  • If a cottage is successfully rebooked after a short-notice cancellation, the $85 service fee will be deducted from the deposit, and the remaining deposit balance will be refunded.
  • No-shows, or failure to notify us of a cancellation, are charged 100% of the reservation total.

CHECK-IN/OUT TIME

CHECK-IN

  • Check-In: 3:30 p.m. – 11:30 p.m.
  • Innkeeper Check-in is available from 3:30 p.m. – 6:00 p.m.
  • Self-Check-in is available from 6:00 p.m. – 11:30 p.m.
  • No early check-ins or luggage drop-off.

CHECK-OUT

  • Check-out is by 11:00 a.m.
    “Parting is Such Sweet Sorrow”. To allow time for new guests, please be prepared to leave by this time.
  • No late check-outs allowed.
  • $85 late fee will apply for check-outs after 11:00 a.m.
  • Additional night charge will apply for check-outs after 12:00 p.m.
ONLINE DISCOUNTS

When making your online reservation, place your discount code in the appropriate box on the reservation form and, hit apply code.  The discount will automatically be applied to your reservation once you enter your discount code and hit apply. View Current Discounts.

BREAKFAST
  • A complimentary country-style breakfast, lovingly prepared and delivered to your doorstep in a charming picnic basket. To maintain your privacy, we simply ring your door knocker and leave your breakfast on the screened porch at 8:45 a.m., allowing you to enjoy your meal at your leisure.

Special Ingredients & Additional Charges

For guests with specific dietary requirements, an additional charge will apply to cover the cost of special ingredients:

  • Gluten-Free Options: Includes items such as gluten-free French toast, egg bakes, scones, and breakfast breads. Gluten-free cookies and dessert options are also available.
  • Restrictive Diets: We only cater to medical dietary needs with advance notice.
  • Note: There is an additional charge per person, per night for gluten-free or medically restricted diets.
  • Vegan Options:  Due to lack of resources in the area and limited need to have on hand, we do not offer this option.
  • We are unable to accommodate fad diets and other diets, such as: Paleo, ovo-free (no eggs).
FORMS OF PAYMENT
  • Cash, Debit, Venmo, Visa, MasterCard, Discover

  • All reservations will be held with a valid credit card, and the total cost of your stay will be charged on the day of arrival.
PACKAGE DEPOSIT
  • If you add a special package to your reservation, a deposit of $100 may be charged 1 week before arrival.
EARLY DEPARTURE

Early Departure: If you need to cut your stay short, after meeting the required minimum of 2 nights (or 3 nights for holidays), a 75% credit will be applied to the remaining nights of your reservation. This credit must be used within 8 months. A stay of at least 2 nights will be required when re-booking.

CHILDREN/PETS/PARTY GROUPS

Children Policy

Piney Hill Cottages is an adult only getaway for couples.

  • We do not allow infants or children at the property, and there is no option to add a child during the reservation process.
  • If you arrive with a child, we will be unable to accommodate you, and you will still be responsible for the full payment of your stay. Please review our policies carefully before booking.

To maintain a peaceful, relaxing atmosphere for all our guests, please note the following:

  • No children or infants—adult guests only (18+).

Pet Policy

We are happy to welcome one small, well behaved, quiet dog (maximum 25 lbs.) per stay.   The pet option can be added during the reservation process.(Small Pet Fee)

  • A non-refundable pet fee of $150 applies per stay.
  • Guests are responsible for any damage or additional cleaning required as a result of their pet.
  • Your pet should not be left unattended for long periods and should be crated if left alone. Your dog should not be allowed on furniture or beds.
  • For the comfort and safety of all guests and other critters on the property, your pet must be kept on a leash at all times when outside the cottage.
  • Service Animals: Service animals are not considered pets and do not incur fees, but policies for them are in accordance with ADA regulations.
  • Emotional support dogs are not service animals and will follow the small pet fee guidelines above.

If you prefer a little more freedom to enjoy the area, pet boarding is available close by at Mystic Pet Resort in Luray.

Group Policy

Each cottage can only accommodate 2 adult guests each.  No outside guests are permitted.  To maintain a peaceful, relaxing atmosphere, please note the following:

  • No party groups—we do not accommodate those seeking a party atmosphere.
SMOKING POLICY
  • No smoking or vaping permitted inside the cottage rentals. Smoking is allowed outdoors only.
  • A $250 fee will be charged for cleaning or repairs resulting from smoking inside the building.
AREA WEDDING LODGING

We hope you will consider one of our luxury cottage rentals for your honeymoon getaway as well as a lodging option for your wedding party and guests.  Please have your guests book with us directly as we do not hold lodging.

DAMAGES/DISCLAIMER
  • We kindly ask that you leave your cottage in the same condition you found it.
  • We take pride in maintaining our property and provide an exceptional guest experience. Please report any damage or spills immediately so we can address them.
  • Normal wear and tear is expected, but we reserve the right to charge for excessive cleaning, damages, repairs, or replacements as deemed necessary.
  • Excessive cleaning fees may be charged for damages or additional cleaning, as needed, and will be billed to the credit card on file.
  • Piney Hill Bed & Breakfast is not responsible for lost or stolen items. Small valuables may be stored in the office at your request.
  • Items left behind after departure will be secured for 30 days and can be shipped via USPS Priority Mail with a $10 shipping fee. After 30 days, unclaimed items will be donated to charity.
  • Disruptive behavior will not be tolerated. If you are asked to leave due to violation of our policies, your payment will be forfeited, and you will be charged for any additional fees incurred.
SAME DAY RESERVATION
  • No walk-ins allowed. All reservations must be made in advance.
  • Same-day reservations are available for 2-night stays, up until 2:00 p.m. on the day of arrival.
OTHER INFORMATION
  • All adult guests are welcome; the LGBTQ+ community is always welcome.
  • No walk-ins; we only accept advance reservations.
  • Insurance restrictions: Only paying guests are permitted to enjoy the property and outdoor areas.
  • Fire safety: Candles are prohibited due to fire risk. Please do not bring them with you.
  • Wi-Fi: High-speed Wi-Fi is available for laptops and mobile devices.
  • Accessibility: Our cottages are not wheelchair accessible.
  • Amenities: We provide sheets, linens, towels, shampoo, conditioner, and body lotion.
  • Flowers: Available for special occasions; they must be ordered in advance of your arrival.
  • For guests with cat allergies: We have two outdoor cats on the property, but they are not permitted inside the cottages, or screened porches.
